We appreciate your efforts to comply with these due dates.  We will of course order textbooks no matter when a faculty requests them, but turning your requests in to us by these dates facilitates buyback and used book ordering, and decreases the chance of ordering problems.

Course Material Information

Why do I need to submit my textbook adoption so early?

On-time textbook adoptions have several advantages for you and your students:

  1. Eliminates problems ahead of time by verifying the availability of the book(s) and determines if a new edition has been released.
  2. If a book is out-of-print or out-of-stock, we have a longer period of time to secure used copies of the book or you have time to select a replacement title.
  3. On-time adoptions of out-of-print books may also be custom published.
  4. Identifies publishers, such as overseas presses, that have unique situations that require additional time to receive.
  5. Provides students with a greater selection of used books which saves students 25% off the publisher's new price.
  6. Increases the amount of money students receive in buyback at the end of the term, if the same books are used again.
  7. To prepare for the coming semester, University Bookstore must return any unsold books to the publisher that are not being used. If we know a book is being reused, we can reduce the costs associated with returning and then reordering books. This means more dollars returned to the campus.
  8. Packaged, bundled, custom publications and print-on-demand books can take up to eight weeks longer than a traditional book to arrive.

What if I have to submit an order after the deadlines?

We will always do our best to accommodate late orders for textbooks and Custom Publishing, and we will still do everything we can to have the books in the store ready for students before classes begin.

What information do I need to include when I order books for my courses?

When submitting your textbook order, the information listed below would be of tremendous help to ensure that the correct book(s) are ordered for your class:

  1. Department
  2. Course #
  3. Instructor's name, phone number and email address
  4. Author and Title (if the book is a package, please include information about the components, and if those components are required or recommended)
  5. ISBN number
  6. Indicate whether the book is Required (REQ) or Recommended (REC)
  7. Estimated enrollment (enrollment cap) for the course

What is Custom Publishing and how does it work?

In partnership with Duplicating Services, the University Bookstore will help produce your lab manual, coursepack, etc. according to your specifications, with a range of paper, binding & cover options available. Securing the reproduction rights can take any where from 4-6 weeks.

What if I require non-text items such as supplies or software?

Simply include the information with your order. The easiest method may be to attach a copy of your syllabus so we have the same information your students will receive. We can provide just about any item for your students' convenience.

Submitting Your Textbook/Course Materials Requisitions

Submit your textbook/course materials requisitions on-campus:

The University Bookstore generates and sends out paper forms via campus mail to each department secretary/administrative assistant approximately 4 weeks before the due date.  These forms list the materials used for classes offered either one year or one semester/term prior. Blank Textbook Requisition Forms are available for new classes or new professors. Each department secretary/administrative assistant is responsible for distributing requisition forms to individual faculty or program coordinator according to that department's policy. Circle the items you want to readopt required (REQ) or recommended (REC), or write in new materials in the space provided.  Completed, signed forms can be returned via campus mail, dropped off in the bookstore, emailed to bookstore@apu.edu or faxed to 626-969-8806.

Submit your textbook/course materials requisitions online

Designated department secretaries/administrative assistants can now use our online requisition system to submit textbook requisitions. Accessing the site requires a login and password assigned by the bookstore.  Once you log in, you can add requisitions based on past course history, search our textbook database to adopt books from that, or manually enter book information in if your chosen books are not already in the database.  You can also edit or delete existing requisitions as long as they have not yet posted to the bookstore. Once online requisitions are submitted, and approved, they download into our store ordering system for us to review and make adjustments if necessary. Faculty members may also use this system to submit requisitions if your department chair allows individual faculty submission.  Please contact the bookstore (bookstore@apu.edu) to request a login and password.  (We will confirm faculty login requests with the department before adding new users.) Detailed Online Requisition Instructions on how to use this site are available.

Custom Publishing & Copyright Clearance Service

Custom Publishing

Publishing your own coursepack, anthology, course reader or lab manual? In partnership with Duplicating Services, the University Bookstore will help produce your lab manual, coursepack, anthology, etc. according to your specifications, with a range of paper, binding & cover options available. Please fill out the Coursepack Request Form and send it into the store with the copy of your coursepack. If you have questions regarding coursepacks please contact Nancy Hodsdon at ext.5550 or nhodsdon@apu.edu.

Out of Print Works

The book you love is out-of-print? You might not have to give it up. If you can supply an original, clean copy that can be scanned as a master, we will contact permission to duplicate the entire work.

Timing

Many works are pre-cleared by Copyright Clearance Center, but not all. Please allow at least 4 weeks before you need to use the work for us to arrange all the necessary permissions.

Desk Copies, Review Copies, Comp Copies

What is a desk copy?

A textbook sent to the faculty member after it has been adopted for classroom use. To save yourself time, check with your department before requesting a desk copy from a publisher. The department may already own a complimentary copy of the book, which can in turn be used as a desk copy.

How can I obtain a desk copy?

To obtain a desk copy of a title you have adopted for a course, write to the publisher on institution letterhead or use the Desk Copy Request Form. Some of the major textbook publishers allow you to log onto their web site and submit your request directly online. The Instructional Resources for Faculty booklet available from the University Bookstore contains a Director of Publishers listing the publisher's direct web link and stipulations for requesting desk copies.

When requesting a desk copy, you will need to include the following information: ISBN, title of the textbook, the title of the course, the term it will be used, the estimated enrollment and your name and campus address. It's always a good idea to mail, fax, ore email your request at the same time you submit your textbook requisition.

What are complimentary copies?

A complimentary, "comp" or examination copy is a textbook sent to a faculty member who is or may be considering adopting the text for a course. "Comp" copies can be requested by faculty, or sent to you by the publisher at the request of the sales rep.

What should I do with "comp" and desk copies after I'm finished using them?

The practice of selling "comp" copies as used books is an ethical issue of concern to the academic, bookstore, and publishing communities. When faculty members sell a "comp" copy or a desk copy as a used book, publishers and textbook authors - who are almost invariably faculty members themselves - are deprived of revenues and royalties.

Both the Association of American Publishers (AAP) and the National Association of College Stores (NACS) strongly advocate the marking of "comp" copies as such and discourage their resale. Most major publishers identify these copies with the words "free" or "free copy" to discourage resale. Here are a few ideas for disposing of  "comp" copies you no longer need:

  • Send them back to the publisher or give them back to the publisher sales rep next time he or she stops by.
  • Give them to a colleague who may teach the course.
  • Offer them to students who are trying to independently improve their knowledge of the subject, or can't afford to buy the textbook.
  • Donate them to a library or the underprivileged.

FacultyOnline is a venture that takes advantage of Monument Information Resource's (MIR's) intimate knowledge of the college publishing industry to provide services to college faculty members. M I R collects and analyzes sales data from college bookstores to provide critical market information to publishers about textbook usage in over 1,700 courses in 50 academic disciplines. M I R's position as the clearinghouse for textbook publishing information makes it the ideal host for an online forum to increase faculty knowledge of, and communication about, course materials.

    Higher Education Opportunity Act

    HIGHER EDUCATION OPPORTUNITY ACT (HEOA) textbook regulations become mandatory July 2010.

    Approximately every 6 years, the United States Congress renews the Higher Education Act (HEA) exploring ways to improve the law. On August 14, 2008 the Higher Education Opportunity Act of 2008 was signed into law and the textbook portion takes effect July 2010. The National Association of College Stores (NACS) has put together a brief overview of the new HEOA law in regards to textbooks. The core theme of the new law is to empower consumers (students) with college cost information—including course materials.  The intention of the textbook section of the new law is to give students access to affordable course materials by decreasing costs and enhancing transparency with respect to the selection, purchase, sale and use of course materials. Also to encourage all parties (bookstores, faculty & publishers) to work together to identify ways to decrease the cost of college textbooks while supporting the academic freedom of faculty.

    How does APU become compliant with the textbook portion of the 2008 HEOA regulations?

    Good news! For the past several years prior to the 2008 HEOA regulations we have been posting the newly required information. The information you supply us on your textbook requisitions goes directly to our website www.bookstore.apu.edu. Our students are already in the habit of relying on the information posted on the website to research and purchase their textbook needs.

    What is your responsibility as a member of the APU faculty?

    Continue supplying the University Bookstore with your textbook requirements for your class.  We will take it from there. We will do our very best to have your requirements for our students at the best price possible and here on time. If you make a change PLEASE let us know so that change will be reflected on the website.
